SUMMARY OF SERVICES
ADMINISTRATIVE & INFORMATION FUNCTIONS
Prepare and mail proxies & ballots in accordance with the legal
documents
Post and/or mail all such notices required by the association documents.
Maintain a database of homeowner calls, work and service orders.
Record changes of ownership upon receipt documentation.
Maintain complete records and files for the association.
Maintain individual unit files.
Maintain a current list of owners in the association.
All correspondence to owners.
Customized newsletters.
SUPERVISORY FUNCTIONS
Bid/Contractor analysis and recommendations.
Assist the Board of Directors in preparation of specifications for
bidding.
Assist in supervision of contract performance.
Establish and maintain liaison with contractors for all work on the
common area.
Report to the Board of Directors on the status of contracts/maintenance.
Assist the Board of Directors in obtaining the appropriate insurance
coverage.
Provide site inspections of the common area.
Maintain relations with owners and respond to request for services.
Assist the Board in preparing the annual budget.
Prepare and present all reports on the operation of the association.
Attend all board meetings.
ADVISORY FUNCTIONS
Reserve requirements and funding analyses.
Insurance coverage bids and contracts.
Major repair logistics and consultant bids/selection.
Association legal documents.
FINANCIAL FUNCTIONS
Pay all bills authorized by the Board of Directors.
Prepare and submit all necessary reports to government agencies.
Prepare all 1099 forms and reports necessary for vendors of the
association.
Contract payment processing and lien releases.
Assessment collections on delinquent accounts.
Maintain all financial records of the association and its members.
Assist in making the association records available to the association
auditors.
Billing services: Monthly statements (or other frequency), coupon books,
electronic fund or other specified payment method.
EMERGENCY CUSTOMER SERVICE
Emergency response to property damage service 24-hours a day, seven days
a week.
